National Production Operations Coordinator


NATIONAL TEAM OPERATIONS COORDINATOR

JOB DESCRIPTION

FLSA Status: Exempt  EEO Class: 5- Administrative Support Workers

Reports to: VP of Operations and Integration 
Supervises: N/A

General Summary

The National Team Operations Coordinaotr has primary responsibility of providing coordination, supervision, planning, and support for all projects the National Production team is working on.  Additionally, this role will assist/liaise between the sales, project, and operations teams to ensure that all rental and live events project needs are coordinated and communicated effectively.  

Responsibilities of Position: Duties include but are not limited to:

Basic Duties 

  • Show up on time and ready to work 
  • Duties as assigned for other shop positions
  • Request training for shop techs and department heads 
  • Utilize IT-supported software/Apps (i.e., Teams, OKTA, RW, etc.) 
  • Adhere to all company policies.
  • Work closely with Project Managers and Agents to establish objectives, budgets, and strategies.
  • Assist prep crews with Wi-Fi, printers, and local hospitality
  • Review orders to verify they contain complete working systems
  • Attend Sales/Production meetings

Planning/Communication

  • Communicate in a positive and professional manner with all 4Wall Entertainment employees.
  • Work in a safe manner and report any safety concerns to your direct supervisor, Operations Team, or General Manager.
  • Communicate prep crew needs to shop Operation
  • Communicate equipment adds to Project Manager or Agent
  • Communicate equipment delivery expectations with prep crew
  • Notify PM or Agent of any equipment that will be late to the prep
  • Coordinate prep and de-prep labor with local operations
  • Ensure all communication necessary between the National and Local teams is happening.

Workflow In 

  • Verify orders are complete and have been distributed to the local shop.
  • Answer questions about local shop operations for project managers and sales people
  • Verify Cross-Rentals is working on solutions to any shortages. 
  • Answer Questions for Local Operations

Workflow Out 

  • Ensure shop operations is planning for preps and adequate space has been allotted.
  • Coordinate any turnarounds with show staff to ensure truck packs etc. are optimized to be flipped
  • Verify equipment will be available when needed
  • Confirm local Operations and Logistics is aware of any tight turn arounds.

Other Duties 

  • Actively encourage and participate with employee engagement and culture-building initiatives. 
  • Work with the sales and operations staff to identify equipment shortages and determine the proper resolution, whether through purchasing or subrenting necessary equipment.
  • Monitor and improve quality to ensure customer expectations are met.
  • Interface with customers and communicate/resolve any issues during prep with the Operations team and Department Heads.
  • Implement existing standards for quality and presentation.
  • Review orders to ensure all equipment needed is included in the order.
  • Assist with logistics and shop labor as needed.
  • Other duties as assigned.

Key Requirements

  • 2-3 years of experience in the entertainment lighting industry; understanding and knowledge of theatrical lighting, staging, rigging, and entertainment equipment required.
  • 2+ years of leadership experience; demonstrated leadership skills and ability to direct, coach, mentor, support and develop team members.
  • Working knowledge of warehouse functions and operations, such as security and safety programs.
  • Computer skills, including working knowledge of the internet, Outlook, Excel, facilities systems and the ability to learn new software.
  • Must be able to give directions as well as multi-task in a fast-paced environment without supervision.
  • Must have a positive attitude, be team-oriented and have great customer service skills.
  • Must possess outstanding communication skills, both written and verbal, with strong ability to speak with poise
  • High school diploma or GED is required.
  • Must be able to effectively communicate in English.

Physical Requirements

  • The job duties and tasks of this position require the employee to regularly sit. The employee may choose to stand and move within their working area. Generally, the employee will be in a temperature-controlled work environment set for general comfort. When the employee is on-site, the position will require to regularly push, pull, bend, climb, reach, twist and kneel as well as lift and /or move 75-100 pounds. Other physical requirements of the job include communication and visual acuity such as close vision, peripheral vision, depth perception and the ability to adjust focus. On-site, the employee will not be in a temperature-controlled work environment and may experience temperature variations due to local weather conditions. Regular use of computer monitors and a keyboard/mouse will be required.

Availability

  • Must be available to work in the evenings and weekends, as required.
