Shop Communication Coordinator

SHOP COMMUNICATION COORDINATOR

General Summary

The Shop Communication Coordinator has the responsibility of providing coordination, supervision, and support for the shop. The Shop Communication Coordinator will review all communication to the location operations email and ensure they are handled by the appropriate staff member. This role requires excellent organizational skills that ensure our shop team members are providing the very best customer service.

Typical Duties & Responsibilities of Position:

Basic Duties

  • Review all email to shop operations email group.
  • Immediately notify Operations Manager and Shop Foreman of any urgent needs.
  • Review orders sent to the operations email group.
    • Verify Pick Up and Delivery Information is Complete.
    • Verify all RW Banners are clear / in progress of being cleared.
  • Hand out pick lists to departments.
  • Duties as assigned by Shop Foreman.
  • Show up on time and ready to work.
  • Utilize IT-supported software/Apps (i.e., Teams, OKTA, RW, etc.).
  • Keep shop clean.
  • Verify all equipment is delivered to the dock.
  • Verify all equipment is branded properly.
  • Verify all equipment is packed to ship safely.
  • Supervise Loading of Vehicles.
  • Verify all equipment is staged.
  • Ensure 4Wall QC standards are being met.

Planning/Communication

  • Communicate urgent needs to Operations Manager.
  • Distribute pick list to department heads and shop techs.
  • Communicate any problems with orders to the sales team.

Workflow In

  • Look over orders to make sure they are complete.
  • Verify all equipment need to operate equipment is on the order.
  • Verify delivery and pick-up information.
  • Communicate shortages to Ops Manager and Cross-Rental team.

Workflow Out

  • Create pick lists.
  • Communicate any Order Questions / Problems to Operations Manager and Sales Team.

Maintenance/Repair

  • Ensure all broken equipment is put in repair in RW per Repair SOP.
  • Ensure wet equipment SOP is followed.

Other Duties

  • With the Operations Manager, establish priorities, provide direction, assign tasks, coordinate and support the shop staff.
  • Maintain quality control of equipment in the shop, making sure items are properly prepped and in good condition.
  • Oversee that all equipment in the warehouse is branded to 4Wall standards.
  • Coordinate with sales to determine extended rental dates.
  • Assist Prep Coordinator as needed, in scheduling Prep Areas and interfacing with clients/shows who are prepping in the building.
  • Ensure that all employees, vendors, outside contractors, etc. are operating all job tasks, functions and equipment in a safe manner per company policy and that meets OSHA standards and other governmental or regulatory requirements.
  • Ensure that employees feel comfortable reporting any work place hazards or safety concerns.
  • Actively check and respond to 4Wall email while on the clock.
  • Perform all other duties as assigned.

Key Requirements:

  • Previous experience with loading dock and warehouse operations.
  • Understanding and knowledge of theatrical lighting, staging, rigging, and entertainment equipment is preferred.
  • Experience managing warehouse employees.
  • Demonstrated knowledge of Microsoft Office including Outlook and Excel.
  • Ability to learn new software programs.
  • Ability to work in a fast paced environment.
  • Ability to work overtime on nights and weekends as needed.
  • Knowledge of basic operations, including security and safety programs, personnel and labor relations, repairs, and maintenance.
  • Must possess outstanding communication skills.
  • Demonstrated leadership skills and ability to direct, coach, mentor, and support team members.
  • Must be able to stand for long periods of time.

Physical Requirements

The job duties and tasks of this position require the employee to regularly stand and walk. Regular use of computer monitors and a keyboard/mouse will be required. The employee must regularly push, pull, bend, climb, reach, twist, and kneel as well as lift and/or move 75-100 pounds. Other physical requirements of the job include communication and visual acuity such as close vision, peripheral vision, depth perception and the ability to adjust focus. Generally, the employee will not be in a temperature-controlled work environment and may experience temperature variations due to local weather conditions.

Availability:

  • Must be available to work in the evenings and weekends, as needed.
