DIRECTOR OF RENTALS AND OPERATIONS

JOB DESCRIPTION

Department: Rentals 
Reports to: Regional General Manager
Supervises: Shop Foremans

General Summary 
The Director of Rentals and Operations has primary responsibility of providing oversight, coordination, supervision, planning, administration, training, and support for all operations activities and programs as well as serve as the primary point of contact for operations related initiatives at their location.  In addition, the Director of Rentals and Operations will be the acting LSM for their location. This position will build rapport with both internal/external clients to maintain business commitments that allow fulfillment of defined service agreements.

Responsibilities of Position: Duties include but are not limited to:

Basic Duties 

  • Overall, and in partnership with the Regional General Manager,  will be responsible to ensure that the shop meets defined objectives and is operating within the shop budget.  
  • Review and approve quotes and orders with non-standard pricing, and/or equipment availability problems. Act as Location Sales Manager as directed.   
  • Achieve operational objectives by contributing information and recommendations to strategic plans and reviews; preparing and completing action plans; implementing production, productivity, quality, and customer-service standards; resolving problems; completing audits; and identifying trends.
  • Implement, enforce, and provide feedback on standard operating procedures; develop processes for receiving product, equipment utilization, inventory management, and shipping. 
  • Oversee all of the shop foreman job performances to ensure all of their responsibilities are being met as well as  monitoring the shop workload.  
  • Attend and actively participate in sales/production meetings.
  • Oversee all facility maintenance repairs.
  • Direct and support the consistent implementation of company-wide initiatives.  
  • Ensure compliance of brand standard procedures and policies.
  • Act as ICM if local ICM is not present. 

Planning/Communication

  • Regularly communicate with National Logistics, National Cross-Rentals, and National Assets to ensure that business commitments are met based on the defined service agreements and solve equipment availability problems.
  • In conjunction with RGM, meet operations financial objectives by forecasting requirements, scheduling expenditures, analyzing variances and finding more financially-efficient options. Meet regularly with the RGM to update them on the status of quotes, orders, inventory levels, repairs, and shop status. Meetings to include discussion of shop labor needs both full-time and overhire.
  • Communicate with Agents, when needed.  Work with the sales and operations staff to identify equipment shortages and determine the proper resolution, whether through purchasing or subrenting necessary equipment.
  • Assist Assets with Consignment Equipment including creating POs.
  • Oversee date adjustments on orders per date SOP. 
  • As needed, coordinates planning activities with other functions and stakeholders within the location and companywide.
  • Communicating the equipment and services contracted to all 4Wall departments to ensure all details of the event are covered. 
  • Monitor and respond to all communications sent to the LSM email group
  • Develop, analyze and improve facility operations systems by determining product flow, product handling systems and storage requirements.

Workflow

  • Review missing and damaged orders 
  • Ensure proper recruiting, training, coaching, and disciplining of employees; appraise, review and communicate expectations of performance; determine and review compensation actions; enforce policies and procedures.  
  • Oversee staff levels in the shop; determine short- and long-term staffing needs while keeping location labor budgeting in mind.  Assist with hiring new shop employees  and oversee hiring of temp labor.   
  • Ensure employee reviews and time sheets are completed on-time.
  • Oversee approval of employee vacation. 
  • Monitor picklist distribution. 
  • Assist Accounting with billing when necessary.
  • Check orders include all equipment needed for the system to function. 
  • Check orders have need delivery and pick up information.
  • Oversee approval of shop parts and supply orders.

Maintenance/Repair

  • Oversee Vehicle maintenance. 
  • Monitor equipment repairs. 
  • Oversee approval of equipment RMAs

Other Duties 

  • Actively encourage and participate with employee engagement and culture-building initiatives. 
  • Oversee training requests for shop techs and department leads. 
  • Oversee ordering of shop uniforms. 
  • Support the Shop Foreman and Safety Coordinator in ascertaining the needed resources to follow the 4Wall Safety Program.
  • Ensure the company’s reputation and corporate values are upheld and enhanced.
  • Maintain and operate per 4Wall quality standards in all work activities.
  • Other duties as assigned.

    Key Requirements:

    • Completion of bachelor’s degree or equivalent work experience, preferred.  
    • 5+ years of previous sales and customer service or comparable years in upwardly mobile positions
    • Familiarity with entertainment lighting, audio, and other special event equipment
    • Excellent written and verbal communication skills
    • Must be responsible, self-motivated, self-starter, personable and well organized
    • Superior Customer Service skills to deal with both internal and external personnel
    • Ability to manage multiple tasks simultaneously
    • Ability to demonstrate planning, organizing and implementing skills which drives revenue
    • 2-3 years of experience in the entertainment lighting industry; understanding and knowledge of theatrical lighting, staging, rigging, and entertainment equipment required.
    • 2+ years of leadership experience; demonstrated leadership skills and ability to direct, coach, mentor, support and develop team members.
    • Experience managing a budget required.
    • Working knowledge of warehouse functions and operations, such as security and safety programs.
    • Computer skills, including working knowledge of the internet, Outlook, Excel, facilities systems and the ability to learn new software.
    • Must be able to give directions as well as multi-task in a fast-paced environment without supervision.
    • Must have a positive attitude, be team-oriented and have great customer service skills.
    • Must possess outstanding communication skills, both written and verbal, with strong ability to speak with poise
    • Must be able to effectively handle stressful situations and meet deadlines and goals
    • Strong PC skills including: Word, Excel, PowerPoint and Internet.
    • Must adhere to all company policies, SOPs, and other management directives. 

    Physical Requirements

    The job duties and tasks of this position require the employee to regularly sit. The employee may choose to stand and move within their working area. Regular use of computer monitors and a keyboard/mouse will be required. The employee must occasionally lift and/or move up to 75 pounds. Other physical requirements of the job include the ability to communicate. Generally, the employee will be in a temperature-controlled work environment set for general comfort.

    Availability:

    • Must be available to work in the evenings and weekends, as required.
