General Summary
The Licenses & Compliance Specialists is responsible for performing a wide range of compliance functions and filings as well as administrative and accounting support activities.
Responsibilities of Position: Duties include but are not limited to:
Organizational Responsibilities

Personal Responsibilities
- Maintain a master schedule of business licenses for all jurisdictions. (For all entities, including due dates, websites, basis for calculating fees, etc.)
- Filing business licenses and remitting payments (Primarily via credit card)
- Assist with business license audits and sales tax audits.
- Reconciling assigned balance sheet accounts.
- Preparing and posting journal entries.
- Other projects and duties as needed.
Team Responsibilities
- Provide support to Accounting Compliance Administrator (Research, contacting state revenue agents to validate exemptions certificates. Etc.).
- Partner with CSC to coordinate business licenses and annual filings to ensure deadline compliance and completeness.
- Assist Tax Accountant and be cross trained to be back up as needed.
Key Requirements
- Associates or Bachelor’s Degree preferred
- 4 Years of accounting experience (Business license, IFTA, DOT, Insurance Filings, etc.)
- Knowledge of accounting standards, conventions and principles is a must
- Experienced and skilled in bank and general ledger reconciliations
- Knowledge of accounting software, MAS 500 preferred
- Knowledge of AIA billing preferred but not required
- Knowledge of Microsoft Office suite
- Intermediate Microsoft Excel skills required - ability to create formulas
- Stable work background is essential
- Knowledge of clerical and administrative procedures and systems such as filing and recordkeeping
- Must adhere to all company policies, SOPs, and other management directives.
Physical Requirements
The job duties and tasks of this position require the employee to regularly sit. The employee may choose to stand and move within their working area. Regular use of computer monitors and a keyboard/mouse will be required. The employee must occasionally lift and/or move up to 2 pounds. Other physical requirements of the job include the ability to communicate. Generally, the employee will be in a temperature-controlled work environment set for general comfort.
Availability
- Must be available to work in the evenings and weekends, as required.
