General Summary
The Receptionist is responsible for answering all incoming calls, meeting and greeting clients/customers and providing administrative support.
Responsibilities of Position: Duties include but are not limited to:
Organizational Responsibilities
- Answering incoming calls within 4 rings and transfer incoming phone calls.
- Take messages and relay to relevant staff members.
- Manage staff and visitor access passes, including staff who forget ID cards.
- Ensure all visitors sign in and out of the visitor book in case of an emergency.
- Keep 4Wall telephone number list (on desktop) up to date.
- Ensure meeting room supplies are kept in stock and reorder when stocks are low.
- Organise training sheets, appropriate proof of training and collate/record training course documents- online and hard copies.
- Produce and print ID cards.
- Put company notices and staff releases onto relevant template and display on notice board.
- Process daily mail requirements, order ink and postage for franking machine.
- Follow all health and safety regulations.
- Ensure locker keys and documentation are up to date. Order keys if required.
- Order online for all departments.
- Assist with admin.
- Other duties as assigned.
Personal Responsibilities
- To adhere to all Company health and safety regulations being responsible for your own health and safety and that of others. Ensure fire precautions and emergency procedures are complied with.
- Ensure compliance within the Company’s written standard of practice and departmental procedures.
- To undertake training and development as necessary as directed by your manager.
- To carry out any other duties and responsibilities as defined by your manager based on the changing needs of the business.
- To act as an ambassador for 4Wall Entertainment in the representation of the Company at exhibitions, internal/external meetings and events as and when required.
- Maintain strict confidentiality at all times.
Team Responsibilities
- Monitor the safe working environment of all personnel or visitors passing through your areas of jurisdiction.
- Reporting repairs and replacements when encountered on the job.

- Must adhere to all company policies, SOPs, and other management directives.
Availability
- Must be available to work in the evenings and weekends, as required.
